1. Who is responsible for your personal data?

The Company is the controller of your personal data and is responsible for ensuring that such processing is carried out in accordance with applicable data protection regulations.


We process personal data about the following data subject categories:
- Visitors, to the website or physical office, i.e. private individuals who visit our website, including private individuals who ask a question to the Company via a form on the website, or who visit our office for a scheduled visit or similar.
- Clients and others involved when providing interpretation or translation services, i.e. private individuals or representatives of our existing and future clients, or others whose personal data is processed in providing our services, such as individuals who order interpretation services on behalf of their client, those being interpreted to, or any other person who contacts us in regard to our services.
- Suppliers and other partners, i.e. private individuals or representatives of our existing and future suppliers/partners, who deliver services and products or who enter partnerships with us.
- Persons who submit an application to work as a translator/interpreter, i.e. those who submit applications for employment or freelance work. 


3. How do we get access to personal data?

- We receive data that you submit to us on your own accord, or which we collect from you when entering an agreement, taking an order, or providing one of our services; also if you contact us via one of our channels or submit an application to work as an interpreter or translator.
- We receive data from our clients when taking orders and when providing one of our services.
- We receive data from private and public registers and credit reports.
- We receive data from cookies used on språkservice.se and webbtolk.sprakservice.se (Språkservice online).


4. Which of your personal data do we process?

##### 4.1 Visitors to the website
We may come to process the following personal data relating to visitors to our website:
- Name and title
- Contact information, including address, e-mail address, telephone number, and
- IP number and information about your use of the Company’s website.

We may come to process the following personal data relating to visitors to our offices:
- Name and title
- E-mail address, telephone number
 

##### 4.3 Suppliers and partners
We may come to process the following personal data relating to our partners and suppliers:
- Name and title
- Personal identity number (for sole proprietorships)
- IP number and information about your use of the Company’s website.
- Contact information, including address, e-mail address, telephone number, and
- Payment details
- Credit reports
 

##### 4.4 Clients and others involved when providing interpretation or translation services
We may come to process the following personal data relating to clients and others involved when providing interpretation or translation services:
- Name
- Title
- IP number and information about your use of the Company’s website
- Personal identity number (for sole proprietorships)
- Login details
- Client number
- Reference number of the assignment
- Contact information, including address, e-mail address, telephone number, and
- Payment details 
- Name, date of birth (relating to the person being interpreted to),
- Language(s)
- Other information, such as case number/decision number, or documents received from the client.
 

##### 4.5 Individuals expressing interest in work as a translator or interpreter
We may come to process the following personal data relating to translators and interpreters:
- Name
- Gender
- Contact information, including address, e-mail address, telephone number, and
- Language skills, education and qualifications (CV and certificates)

5. For what purpose and on what legal basis do we process your personal data?

##### 5.1
In order to conclude and manage agreements with our clients, customer service, partners and suppliers, we collect and process personal data relating to you and the person for whom the interpretation is performed, or personal data contained in documents, etc. to be translated. The legal basis for our processing of your personal data is that it is necessary to fulfil our end of an agreement or to take measures in preparation of concluding such an agreement with you. If you do not provide the personal data specified above, we will not be able to offer you our services or otherwise fulfil our obligations to you. If you are the representative or contact person of a client organisation, partner or supplier of ours, the legal basis for our processing of your personal data is a balancing of interests, i.e. the processing is necessary due to our legitimate interest in maintaining and fulfilling our obligations in contractual relations. If you do not provide your personal data, we may not be able to fulfil our obligations in relation to the organisation that you represent.


##### 5.2
We also collect and process personal data belonging to visitors to our website, clients, partners or suppliers for the purposes of quality assurance, statistics and analysis, contact and/or to offer and market our services or products. We may also send you relevant marketing offers in the form of newsletters, notifications in our booking application (client and interpreter application), promotional offers via social media and email, etc. The legal basis is that the processing is necessary for our legitimate interest in developing our business and meeting your needs, as well as in promoting products and services that we think you may be interested in. Our interest in processing your personal data for this purpose overrides any interest you may have in protecting your privacy in light of the potential benefits that the marketing can give you. However, you are entitles to object to our processing of personal data for the purpose of direct marketing at any time. Some marketing activities may also be consensually based.


##### 5.3
Some personal data may also be processed because the Company has a legal obligation, for example personal data received due to the Company's accounting obligations or other obligations imposed on us by law.


##### 5.4
When entering a client agreement, the Parties may agree on further processing of personal data in specified translation or interpreting assignments, for example for the purpose of translating sensitive personal data, etc. Information about processing of personal data in each project is provided separately and will be individualised for each given assignment.
 

##### 5.5
When we receive an application to work as a freelance translator or interpreter, the legal basis for our processing of personal data is the person’s consent. We will process personal data in the collection and storage of applications, screening and selection, assessment of qualifications, contact with those who have submitted applications, calling interviews with applicants and finally, in the deletion of applications. If you do not provide your personal data or if you withdraw your consent, we may not be able to consider your application or contact you for future assignments.


6. For how long do we store your personal data?

##### 6.1
We will never store any data for longer than what is necessary for the purposes of the processing. For this reason, we regularly cull our stored personal data to delete any data that is no longer needed.


##### 6.2
We save data about our clients, partners and suppliers, for as long as we have an active agreement. Once the contractual relationship has ended, we will store related personal data for as long as the agreement is subject to potential legal claims. However, we may need to keep the personal data after this time has passed, for example to manage any warranties, complaint limits, legal compliance, or other legal claims against the Company, which are unrelated to any agreement, or to market services and send offers that we believe can be of interest to the recipient.


##### 6.3
We will store data relating to visitors to our website, for as long as they do not object to the processing of their personal data, or for no longer than 26 months following their last visit to our website. If you object to the processing, we will erase your personal data as quickly as possible. If you withdraw your consent, the processing will stop from the time of the withdrawal. ##### 6.4
When we receive an application to work as a freelance translator or interpreter, we will store your personal data for as long as necessary in order to consider the application, but for no longer than 90 days after receiving it. If you submit an application to work as a freelance translator, we will store data regarding your interest in employment or freelance work until such a time that you withdraw your consent. However, we will not store your data once our purpose of processing no longer exists. If you object to the processing, we will erase your personal data as quickly as possible.


Your personal data may be disclosed to and processed by parties other than Språkservice. This may refer to contracted interpreters or translators or to employees of group companies, group companies, service providers, digital advertising partners, legal advisors, accountants, business consultants, public agencies, etc. Personal data can be transferred when required by law, dispute, government request or decision, at your own request, or alternatively when required to fulfil one of the Company’s legitimate interests or client agreement. The Company will remain the controller of the transferred personal data, while the recipient, depending on the circumstances, will either become an independent controller, a joint controller with the Company, the Company's processor, or be considered to carry out processing under our direct responsibility and in accordance with our instructions.

In some cases, the Company may act as a processor. In such cases, we instead process personal data according to instructions from the relevant controller.

The Company may process your personal data both within and outside the EU/EEA. The Company will and must take the necessary measures to ensure that the transferring is lawful and that the data continues to be protected by the receiving parties outside the EU/EEA.

We use Instagram, Facebook, Youtube, Twitter and LinkedIn to share information and news about our business. If you use any of these social media services, we refer you to their respective privacy policies for more information. We do not sell your data to others for commercial purposes.

When you visit our website språkservice.se or the website webbtolk.sprakservice.se (Språkservice online), we use cookies and other tracking technologies to set, analyse and keep statistics relating to visits and use of the website, as well as marketing. For information on retention period, legal basis, etc., see the section above.

Cookies are regulated in the Electronic Communications Act (2003:389), but to the extent that personal data is being processed, such processing is subject to Swedish data protection legislation. Our advertising partners, including Facebook, LinkedIn, and Google (Google Analytics) use cookies. These can be used to create a profile based on your interests, and to show you advertisements on other websites (retargeting).

12. What are your rights as a data subject?

##### 12.1 Right of access
You are entitled to contact the Company in its capacity as data controller to request access to any of your personal data that we are processing, as well as to request information about the purposes of the processing and who has access to your personal data. As data controller, the Company will provide you with copy of any personal data being processed, free of charge. For any additional copies, we may charge an administrative fee.


##### 12.2 Right to rectification and limitation
You are entitled to have your personal data rectified or, under certain circumstances, restricted without undue delay. If you believe that the Company is processing personal data about you that is inaccurate or incomplete, you may request that it be corrected or completed.


##### 12.3 Right to deletion
You are also entitled to have your data deleted, if it is no longer necessary for the purpose of processing or if its processing is based on consent and this consent has been withdrawn. However, there may be legal requirements or contractual relationships that prevent us from deleting your personal data.


##### 12.4 Right to object and withdraw consent
As a data subject, you have the right to withdraw your consent in whole or in part. If you withdraw your consent, we will delete the data as soon as possible and within six months at the latest.

As a data subject, you have the right to object to the processing of your personal data at any time, if the legal basis for the processing is a balancing of interests. As a data subject, you also have the right to object to the processing of your personal data at any time, if the data is processed for direct marketing purposes.


##### 12.5 Right to data portability
As a data subject, you have the right to access the personal data that you have provided to the Company in its capacity as data controller and you have the right to transfer these data to another data controller (data portability). However, it must be technically feasible and that the processing must be necessary for the performance of the contract.


##### 12.6 Right to lodge a complaint
If you are dissatisfied with our processing of your personal data, please let us know. Contact details are provided in section 14. You also have the right to lodge a complaint about our personal data processing with the Swedish Authority for Privacy Protection, which is the supervisory authority for the Company’s personal data processing (www.imy.se).


The Company reserves the right to change and update this policy. In the event of material changes to the policy, or if existing personal data is to be processed in a manner different from that set out in the policy, the Company will provide appropriate notice.
